The MLS Compliance Administrator collaborates with MLS Staff, Association Staff and MLS users on an on-going basis. The primary role of the MLS Compliance Administrator is to ensure the accuracy of the MLS data by administering the MLS rules and Compliance Policy consistently for all MLS users. This position focuses on data accuracy, complete and accurate documentation, adherence to standard procedures, and is responsible for resolving inquires with an exceptional quality of work. The MLS Compliance Administrator is a full-time, hourly, non-exempt position.
Essential Job Duties and Responsibilities
- Monitor and evaluate all compliance communications and determine how to respond to each based on set rules and policies
- Reply to all requests via telephone, email, chat, etc. in a courteous, prompt, and professional manner
- Build rapport and elicit problem details from users, staff, and leadership
- Thoroughly and timely document all pertinent compliance information and prepare compliance reports as directed, including all successful and unsuccessful decisions made, and action taken, through resolution
- Identify and learn appropriate software supported by the company
- Prioritize and escalate problems (when required) to the appropriately experienced staff member
- Timely perform post-resolution follow-ups to requests
- Must record all hours worked on approved time sheet
- Timeliness and regular attendance are an essential function of this position; being present in the work environment, physically or remotely is an essential job function
Other Essential Skills
- Develop an understanding of REALTOR Associations and MLSs specifically the MLS Rules and Regulations
- Exceptional customer service skills. Friendliness and empathy are essential.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Strong documentation skills and able to type 40+ WPM
- Excellent written and verbal communication skills
- Good interpersonal skills, with a focus on rapport building and listening skills.
- Ability to present ideas in a user-friendly language
- Proven analytical, problem-solving, and critical thinking abilities
- Ability to effectively prioritize and execute tasks in a high-pressure environment
- Experience working in a team-oriented, collaborative environment with ability to be extremely effective independently
- Ability to work remotely from your home office, or at our main office when remote work is not appropriate
- Ability to conduct research into a wide variety of computing issues as required
- Ability to absorb and retain information quickly
- Sound judgement – common sense
- Maintain professionalism with users, and staff at all times
- Real Estate experience is helpful
- Willing to cross-train in other areas
- Participate in our Compliance Committee as needed
Education, Certificates and Experience
- High School Diploma, GED or Associates degree, or technical certification in the field of information technology and/or 2 years equivalent work experience
- Knowledge of Microsoft Windows, MacOS, iOS, and Android operating systems, Microsoft Office products including Outlook, Word, Excel, Powerpoint, etc.
- Knowledge of multiple web browsers
- Previous knowledge and experience in the Real Estate industry a plus
