DESCRIPTION OF THE ORGANIZATION:
The Central Oregon Association of REALTORS® (COAR) is the voice for real estate in Central Oregon. We represent more than 2,500 members involved in all aspects of the residential and commercial real estate markets throughout Central Oregon. The Central Oregon Association of REALTORS® also owns and operates the Multiple Listing Service of Central Oregon. Our Multiple Listing Service is part of a data share with multiple MLSs in the state of Oregon.
POSITION SUMMARY:
This is a newly created position, and reports to the Chief Executive Officer. The Multiple Listing Service Director is responsible for the full operation, supervision, evaluation, delivery, and maintenance of all Multiple Listing Services (MLS) and supporting products in conjunction with the Chief Executive Officer. The MLS of Central Oregon currently services 2500+ MLS members and works with the other MLSs in our data share on a regular basis.
ESSENTIAL FUNCTIONS:
• Responsible for managing daily activities and operations of the MLS including supervision of staff in that department, customer support, training, data management, and data compliance
• Works closely with other departments—Finance and Communications as well as our contract IT provider when necessary
• Builds on the success of the organization and quality delivery of services to Participants
• Plans and ensures that successful implementation, maintenance, and operation of an MLS system meets the ongoing needs of its users. Current system is Flexmls
• Facilitates and serves as the liaison to the MLS Executive Committee
• Provides oversight and administration of customer service and support for all MLS services and products. Identifies and oversees successful resolution of MLS issues
• Works with legal counsel and Government Affairs Director in specialized areas of MLS
• Ensures participation and data license agreements are executed, updated and enforced
• Works closely with internal and external groups on resolving product issues
• Evaluates products and partnerships with MLS vendors including updates and compliance
• Works with vendors through the implementation process and multiple data distribution vendors
• Has full knowledge of governance structure, NAR policy, MLS bylaws and rules, lock box rules and regs, other policies and procedures with respect to MLS administration—and responsible for the implementation and enforcement of those policies
• Actively participates with state and national association and other industry-related groups, including travel to industry conferences
• Actively participates in data sharing partnership and coordinates with other MLSs in the data share when needed
• Plans and recommends strategy to comply with regulatory requirements and stays current with relevant industry trends
• Directs MLS projects and communications to members and other stakeholders
• Responsible for planning and oversite of MLS training programs, staff, and special MLS events & classes
• Presents products and services to the appropriate committee and/or staff for review
• Assists in preparation of our annual budget
• All other duties as assigned by Chief Executive
QUALIFICATIONS:
• Bachelor’s degree in business or technology related field
• Management experience in a Multiple Listing Service
• Experience with managing staff and projects
• Experience working with programmers, developers and technology vendors
• Knowledge and experience with data analytics, statistics and research
• Experience in forecasting and budgeting
• Solution driven with a focus on customer service both with members and staff
• Exceptional customer service and support skills
• Ability to effectively and productively handle stress under pressure and positively influence and motivate others
• Excellent computer skills (PC or Mac) experience with standard Microsoft business applications (Outlook, Word, Excel, PowerPoint), association management systems etc. and a willingness to learn new software as directed
• Ability to problem solve and source information
• Accurate and precise attention to detail
• Ability to multitask, prioritize and manage time efficiently with multiple interruptions.
• Must have good, public relations and communications skills, including the ability to make presentations and deal with emotional customers
• Self-motivated and willing to support our small team
• Experience with reporting to boards and/or committees
• Strong writing and editing skills
• Candidate cannot have an active real estate license
• Fully vaccinated against COVID-19 and willing to provide proof of vaccination, and willing to wear a mask when required by local, state or national policies.
PREFERRED QUALIFICATIONS:
• Knowledge of market influencers and competitive trends
• Knowledge of Flexmls system
• Public speaking and training experience
• Understanding of statistics
• General understanding of the home buying/selling process
BENEFITS & SALARY
• Salary range for the position will be $70,000-$80,000 based on qualifications
