Our client, Oregon Real Estate Forms, LLC (OREF) develops standardized, legally reviewed, and up to date real estate forms for use by Oregon real estate licensees.
As the Executive Officer, you will oversee the day-to-day business activities of OREF and provide leadership to the organization at the direction of the Board of Managers (BOM) as reflected in adopted Policy Statement and any other policies. The Executive Officer will conduct duties in accordance with OREF’s Operating Agreement, Policy Statement, Annual Strategic Plan and adopted Operating Budget.

As the Executive Officer, you will lead and guide the organization through the day-to-day business operations while maintaining the strategic vision of the organization.
Running a small business
- Running the day-to- day business operations of a small business to include leadership and management of staff
- Creating strategic vision and communicating vision to staff and subscribers – ensure all team members provide professional, effective, and business-like communications with third parties and customers
- Oversee year-end review and beta testing processes of new and updated OREF forms; coordinate the independent, professional proof reading of forms, and ensure such forms are deployed through OREF’s forms hosting vendors
- Operational policies, financial and information management controls that are secure and in the best interest of the organization; strive to attain audit results with no significant findings; ensure OREF is in compliance with all regulatory requirements, statutes, and laws
- Executive contracts, vendor agreements, and other legal documents – provide oversight and management of all contracts with third parties including corporate counsel, CPA partner and other service providers
- Research, recommend, and implement future business projects and opportunities, including identifying products and services that are synergistic to OREF’s strategic plan
- Oversee OREF’s accounting functions, including but not limited to billings, collections, accounts receivable, and accounts payable
- Manage employee benefits and payroll
Customers and Community
- Ensure the execution of training seminars and webinars related to the use of OREF forms and the use of ancillary services provided by OREF-approved forms hosting services
- Organize and manage the effectiveness of forms subscriptions and associated subscriber services, including OREF’s customer service program
- Utilize outside resources and stay up to date on compliance requirements
- Oversee any OREF Request for Proposal processes and conduct vendor reviews in accordance with OREF’s policies
- Spokesperson and primary contact for all forms-related issues and concerns, including: the promotion of OREF’s products and services, newsletters, e-news, general communications, website content and press releases
- Maintain ongoing rapport, communication, and coordination with Oregon’s local Realtor Associations, Multiple Listing Services and other industry related organizations
Board of Managers
- Bring all significant matters to the BOM for approval
- Make recommendations to the BOM on improved processes and efficiencies
- Oversee strategic direction of all committees and task forces formed by the BOM to coordinate the accomplishment of OREF’s strategic plans, provide timely status reports to the BOM
- General administrative and management functions, including maintaining official minutes of BOM meetings, committee meetings and other official meetings of OREF
- Working with BOM, develop the annual strategic plan and the annual operating budget
- Deliver timely monthly financial reports to the BOM and coordinate the preparation of tax returns and audits. Act as OREF’s IRS “partnership representative”
Requirements
- Strong management and experience running a small organization
- Experience working under the guidance of a Board of Managers
- Solid interpersonal communication and public relations skills
- Understanding of financial management and planning
- Ability to build trust both within and outside the organization
- Strong attention to detail
- Experience working with SaaS platforms and technology vendors a plus
- Knowledge of the real estate industry a plus
